Privacy Policy
Last updated: August 2026
Draft. This policy is awaiting confirmation of the company registration and data retention details marked below. It should not be relied upon until those are filled in and this notice is removed.
Who We Are
This website is operated by Informatique Solutions Ltd, a company registered in [PLACE OF REGISTRATION — TO BE CONFIRMED, e.g. England and Wales] under company number [COMPANY NUMBER — TO BE CONFIRMED], with its registered office at [REGISTERED OFFICE ADDRESS — TO BE CONFIRMED]. Our VAT number is [VAT NUMBER — TO BE CONFIRMED, or remove if not registered].
We are the data controller for the personal data described in this policy. We are registered with the Information Commissioner’s Office under registration number [ICO REGISTRATION NUMBER — TO BE CONFIRMED].
For anything to do with your personal data, contact us at info@informatiquesolutions.co.uk.
What We Collect
When you complete the contact form on this website, we collect your name, email address, the service you are enquiring about and the message you write. You may also give us your company name, which is optional.
Our web host records standard server logs, which include IP addresses, for security and diagnostics. This website sets only strictly necessary cookies — including one that remembers your cookie choice. There is no analytics, advertising or tracking software on this site. Our cookie policy covers this in full.
We do not ask for special category data, and we would rather you did not include anything sensitive in a message sent through this form.
Why We Use It, and Our Lawful Basis
We use what you send us to answer your enquiry, to prepare a quotation where you have asked for one, and to keep a record of what was discussed.
Our lawful basis is legitimate interests — specifically, responding to an enquiry that you have chosen to send us. Where your enquiry is a request for a quotation or for us to begin work, our basis is taking steps at your request before entering into a contract.
We do not use your details for marketing unless you ask us to, we do not sell or rent them to anyone, and no automated decision-making or profiling is carried out on them.
Who Else Handles It
We use a small number of service providers who process personal data on our behalf, under contract and only on our instructions:
- Resend — Delivers the email that the website contact form generates. Data location: United States.
- Microsoft 365 — Hosts the mailbox that receives and stores enquiries. Data location: United Kingdom and European Union.
- Hostinger — Hosts this website and its server logs. Data location: [TO BE CONFIRMED — check the data region on the hosting plan].
Where a provider processes data outside the UK, that transfer is made under the safeguards permitted by UK data protection law, such as the UK International Data Transfer Agreement or the UK Addendum to the European Commission’s standard contractual clauses.
We may also disclose information where we are required to by law, or to our professional advisers where necessary.
How Long We Keep It
Enquiries sent through this website are delivered to our mailbox and are not stored anywhere else — there is no database behind this form. We keep them for [RETENTION PERIOD — TO BE CONFIRMED, e.g. 24 months from last contact], after which they are deleted.
Where an enquiry leads to us working together, the records become part of our client records and are kept for as long as we need them for that relationship and for the periods required by law, including for tax and accounting purposes.
Your Rights
Under UK data protection law you have the right to:
- Ask for a copy of the personal data we hold about you
- Ask us to correct anything that is inaccurate or incomplete
- Ask us to delete your data, where there is no good reason for us to keep it
- Ask us to restrict how we use it while a concern is resolved
- Object to our use of it where we rely on legitimate interests
- Ask us to transfer it to you or another provider, where that applies
- Withdraw consent at any time, where we have relied on consent
Write to info@informatiquesolutions.co.uk and we will respond within one month. There is no charge for making a request.
Complaints
If you are unhappy with how we have handled your personal data, please tell us first so that we have the chance to put it right.
You also have the right to complain to the Information Commissioner’s Office, the UK supervisory authority for data protection. Their helpline is 0303 123 1113 and full contact details are at ico.org.uk. Complaining to the ICO does not affect any other rights you have.
Changes to This Policy
We update this policy when what we do with personal data changes. The date at the top shows when it was last revised. Where a change materially affects you, we will take reasonable steps to bring it to your attention.
